Most people press the Ask Gemini button, ask one question and close it. It does much more: it compares your open tabs, reads what’s on your screen, fills PDF forms from your Gmail and talks you through any app with Gemini Live. Four workflows that save hours every week.Every step as Chrome names it, and every prompt as I typed it. Words like these are mine; change them to yours.
Before you start
Find the Ask Gemini button
Gemini in Chrome is the Ask Gemini button at the top right of the window. It opens a chat beside the page that can see your open tabs.
What you need
Filmed in Bali on my Google Workspace account: it works outside the US too.
Step 1 · Chrome
Chrome, signed in
On Windows, Mac or ChromeOS. Ask Gemini is at the top right.
Step 2 · Google Workspace
A work account
Gemini in Chrome is included on every Google Workspace plan. Your admin can turn it on or off.
Step 3 · Personal account
Or a personal one
There if you can use the Gemini app.
Workflow 1
Gemini vs Copilot: compare open tabs
Which AI should a team of 10 pay for: Gemini in Google Workspace or Copilot in Microsoft 365? Both pricing pages open, and Gemini compares them in one table. Microsoft 365 with Copilot costs more than double.
Share the tabs
Google Workspace’s pricing page in one tab, Microsoft 365 Copilot’s in another.
Step 1 · Chrome
Ask Gemini
Press Ask Gemini at the top right. The tab you are on is shared already: it shows at the top of the chat.
Step 2 · Gemini in Chrome
Add the other tab
Press + at the left of the box: it lists every tab you have open. Pick the other pricing page. Or type @ in the box to pick a tab.
Step 3 · Gemini in Chrome
Pick the model
The menu at the right of the box. It starts on Flash, which is not enough for this: pick 3.1 Pro, or Gemini 4 if you have it.
Ask
Three prompts, one after another in the same chat.
Step 4 · Gemini in Chrome
Compare the prices
A year of each, discounts added up: $1,176 for Google Workspace the first year, $2,820 for Microsoft 365. Then every AI feature side by side. Hover over the chat’s edge to make it wider.
The prompt
We’re a team of 10 developers looking for the best business suite with AI included. Compare Google Workspace & Microsoft 365 (+ Copilot) Pricing. Give me a detailed table of AI features we will get for the money.
Step 5 · Gemini in Chrome
What users prefer
Gemini searches the web for what users say: why people pick Microsoft 365 Copilot, and why Google Workspace.
The prompt
Ok so workspace is cheaper! But how about the features? Research the web and find which AI users tend to prefer and why
Step 6 · Gemini in Chrome
Which works with what you have
Google Workspace works with Claude through Claude Code, the Workspace connectors and live editing in Docs, Sheets and Slides; Microsoft 365 through Office add-ins and connectors.
The prompt
We already pay for Claude, this is more for everyday tasks and automations, which one should we go with? Which space integrates better with Claude?
Workflow 2
Gemini reads your screen: fix any error
A client wants to see what his Gemini API key costs. The Google AI Studio billing page says “Set up billing”, though it is set up. He draws a box round the error, and Gemini tells him what’s wrong and where to fix it.
Show Gemini the error
Select from screen: you drag over what Gemini should look at.
Step 1 · Gemini in Chrome
Select from screen
Ask Gemini, then + and Select from screen. Drag over the error: it goes into the chat like a screenshot.
Step 2 · Gemini in Chrome
Ask what’s wrong
Billing is set for each project. Gemini says where to look, step by step: the project menu at the top, and the project under another name. Pick it, and the numbers are there.
The prompt
My developer told me I can find my API key spendings here but I see setup billing. And we already set it up
Two parts of the page at once
The spend cap says $108, the total cost $73.73.
Step 3 · Gemini in Chrome
Select two parts
Select from screen again: drag over the monthly spend cap, then click the second part and drag its handles round it. The chat shows two screenshots.
Step 4 · Gemini in Chrome
Ask about the numbers
The savings came off the total cost.
The prompt
This is so confusing! The spend cap says 108$ ...total cost has 73.73$
Step 5 · Gemini in Chrome
Ask what you don’t know
The $34.48 of savings come from context caching in his app: built into its back end, it pays less for the same work.
The prompt
Savings? What the heck is that?!
Workflow 3
Fill PDF forms from Gmail with Gemini + Splash
A medical certification form with 60 blanks, for a patient whose details are in my email and her therapy notes. Gemini finds them across my Workspace, drafts the email asking for the rest, and writes the prompt for Splash, which fills every blank.
Find the details
The form open in a tab: here, in Your AI PDF, the form filler I’m building.
Step 1 · Gemini in Chrome
Ask for a table
I never said who Elowen is or what her address is: Gemini finds her across my Workspace, lists every blank of the form and matches each one to what it found. Most are missing.
The prompt
I’m filling out this document for my patient, find all Elowen’s details across my workspace: email and therapy notes. Give me a table of all field names and values. Highlight the details that are missing.
Ask for the rest
In the same chat.
Step 2 · Gmail
Draft the email
Gemini finds her address itself and writes the subject and the email. Edit in Gmail opens it as a draft: read it, then Send.
The prompt
Draft an email for Elowen with every missing detail
Fill the form
Once she has answered: back to the form’s tab.
Step 3 · Gemini in Chrome
Write the prompt for Splash
Gemini reads her reply and writes the prompt: every blank, and what goes in it. Nothing to paste by hand.
The prompt
Elowen just emailed me all the details. Create a detailed prompt for Splash to fill out the form
Step 4 · Your AI PDF
Splash fills the form
Copy the prompt into Splash, the AI assistant in Your AI PDF, and send: in a few moments every blank is filled. Sign it, then Share it back to her.Your AI PDF opens soon: join the waitlist →
Workflow 4
Gemini Live in Chrome: share your screen and talk
A live assistant that knows what is in every tab you share. Five of my videos open, a question out loud, then step by step through turning on speech translation in Google Meet, watching what I click.
Share the tabs and go Live
Here five of my videos, one a tab.
Step 1 · Gemini in Chrome
Add more tabs
Ask Gemini, then +. With more than three tabs open there is Add more tabs: pick them all. You can share up to 10.
Step 2 · Gemini in Chrome
Go Live
No prompt: press Go Live at the right of the box. Live opens at the top right with every tab you shared, already listening.
What I said
I’ve been watching Your AI Workflow a lot. Can you analyze all of these videos and give me five actionable workflows I could try in Google Workspace Standard?
Let it walk you through an app
Here a Google Meet call, with speech translation to turn on.
Step 3 · Google Meet
Ask where to press
Live sees the screen: Captions and translation, in the bar at the bottom between the reactions and Raise hand.
What I said
Can you guide me through this? Where should I press?
Step 4 · Google Meet
Ask what’s next
Translate speech, then the language to translate into.
What I said
Okay, and what should I do here?
Step 5 · Google Meet
Change the language
The Translating to English button, or the settings beside it, has every language.
What I said
How do I translate it to Russian?
